The board meets twice a year: at the annual conference and at a mid-year gathering in April or May at the upcoming annual conference site.

The board meets with the conference host, takes a tour of the parish, hotel, and conference area and works to help plan the annual conference.

The board also meets to report on all operational areas of the VGEC and to develop strategic plans for the future of the guild.
